Westlake theater students prepare for performance in Edinburgh

This summer, 15 Westlake High School theater students will travel to Edinburgh, Scotland, to perform at the American High School Theatre Festival, part of the Edinburgh Festival Fringe.

Theater director Meredith Yanchak, tech theater teacher David Tolin and a parent chaperone will accompany the students on the trip will be from July 29 to Aug. 11. The group will first spend a few days in London, sightseeing and also attending a show in the West End. Following that, they will head to Edinburgh and the festival. They will perform four shows on four different days. (to continue . ..)

I'm meeting with Stacey Ussery this afternoon to finalize our plans for this Saturday's concession fundraiser. We will need volunteers to work from approximately 7am until about 4:30pm. Both parents and students are needed (we really do need adult help!). I'll send details/sign up after my meeting.
This fundraiser will directly impact payments in April.


March/April - Kendra Scott fundraiser (Yariela Musick is coordinating. Details to come.)
We're still looking for restaurant fundraisers and other opportunities. I'd love any input you have on that, as I'm rushing about trying to get the UIL One Act up on its feet.

March 6 (Monday) is the due date for the next payment. With the DonorsChoose and 12-Hour Play Festival fundraising, the payment will be $814.50 per participant.

In the span of 12 hours, they brainstormed, wrote, rehearsed, and performed (starting at 6pm) six 10-minute plays in the WHS Black Box Theatre.

Teams raisied funds for theatre students to perform in the Edinburgh Fringe Festival through pledges for their work on the 12-Hr Play Festival.

Happy to announce that we've secured the rights to Ken Ludwig's "The Three Musketeers!" I'm really excited to start work on this reimagined classic. The students have been informed via email that we'll be starting to schedule informal auditions (cold-reads) to assign roles and they'll have scripts in hand long before we start rehearsals.

If anyone has an eye for making marketing materials, I have to submit some items to AHSTF by February 17 for inclusion in the Fringe Festival program. I'd love someone to take over this task and can provide details on what's needed if you have an interest.

2/4/17 update

TRAVEL DOCUMENTS
I'm sitting here filling out my passport renewal form, and I thought it would be a good reminder to you all that it's important to check that all travel documents are up-to-date. Please take some time to double check that everything is squared away in that department.

FUNDRAISING
Thanks to everyone who helped by donating to or sharing our DonorsChoose project. We made our goal, and those funds will be sent directly to AHSTF to benefit everyone going on our trip. Your March payments ($1000 - March 6) will be directly impacted by this, and I'll be sending out the updates on fundraising as they come in.
We have a fundraiser running next week at school, another on Feb 18 (12-Hour Play Festival), and then another on March 4 (concessions at the DI Tournament).

We'll be searching for volunteers for both the Feb 18 and March 4 events, and I'll send details out as I get them.

FUNDRAISERS

We are continually looking for ways to fundraise!

Parent volunteers are working on setting up another restaurant fundraiser for February.

Our student exec board will be coordinating an in-school fundraiser for Valentine's Day and students will be asked to help with that during lunch (the week prior to 2/14).

Our 12-Hour Play Fest on 2/18 will also operate as a fundraiser. Details to come.

Saturday, March 4
is a fundraising opportunity for us as well. We are planning to run concessions at the regional Destination Imagination tournament that will take place ALL DAY on that date. We will need many hands, as this is a large event with schools and families from all over the state. More information will follow as we have the details cemented.

Our DonorsChoose fundraiser will expires in 18 days! The more this fundraiser is sent out to friends, family, co-workers, neighbors, the better our chances are of making our deadline. Here is the link to share/post:

Hello all -

PAYMENTS

Thank you for putting in your January payments and for letting me know when you've done so. Our next payment is due March 6 ($1000). We are working to cover a portion of that cost as we have done so far.

SHOW INFO
Currently, the show I'm hoping to produce at the festival is Ken Ludwig's The Three Musketeers. This is a really high-energy show with lots of action and comedy and plenty of fun, challenging roles for the entire company.

I'm waiting on approval from the publishing company to shorten the show to the festival time slot.

Should we not gain approval, I'm planning on still rolling with the musketeers. Dumas' story is public domain which means we can adapt the story for our own needs.

REHEARSAL DATES
Several of you have asked about when rehearsals might start for our show, as you begin to schedule your summers.

Obviously there are many theatre events going on (all at once!) and my first priority to these students is that they have time to focus on their academics and other more time-sensitive projects.
I am working to put together a schedule of rehearsals for this team of students, but I'm trying to keep the rehearsals sparse throughout the spring semester.

At the present, I'm thinking we'll start sporadic rehearsals in April and May and perhaps use the first two weeks of June (or so) as our heavier weeks with rehearsals (May 30 - June 2, June 5-9). If the students are dedicated (as they all are!), we may not need all of that time.

We'll have to rehearse, of course, before we leave for our trip so I'm also hoping to hold rehearsals during the week of July 24. (Our plane leaves on July 29.)

I'll hopefully have a better timeline for you in the next week or so.

Finally, here are some updates from the AHSTF crew:

This year, the Westlake Theatre Department will be hosting its first EVER (and hopefully, ANNUAL) Fall Festival on Sunday, October 30 in the Ninth Grade Cafeteria from 1-4pm.

The proceeds from this event will benefit the department, but specifically will benefit those theatre students journeying to Scotland this coming summer to perform as part of the American High School Theatre Festival at the Edinburgh Fringe. These students worked hard to earn their nomination and acceptance into this festival, and we're working to support them as they raise funds for production and travel!

As such, we're hoping to keep costs down for the festival. We're in search of donations of items to make our festival a success. Please take a moment to look over the list below. The Westlake High School Theatre department is currently selling advertising for its 2016-2017 performance programs.

The programs will be distributed at the performances of the Theatre department throughout the school year.

The Westlake Theatre Department draws large audiences at their performances which will include 7 performances for a total of 14 shows during the 2016-2017 school year.

Fifty percent of the ad sale proceeds are credited to the theatre student to be used for theatre expenses and activities. The other fifty percent pays for the costs of printing the programs.


Step One: Visit www.ahstf.org and click on the Gift of Performance tab, on the right side of the screen.

Step Three: Have your students create and send these e-card requests to their friends and family members. Every contribution makes a huge difference!

NOTE: Gift of Performance can also be used to make deposits for the trip. Simply have a parent send the ecard to themselves and they will be able to make payments for their child's participation.

NOTE: Each time a gift or payment is made, an automatic email will be generated to the donor, the recipient, the director and to the AHSTF staff.

Greetings:

Here's the latest from AHSTF and myself:

1) The Gift of Performance Tool is back up and running.
How to use the AHSTF Gift of Performance Tool: (look left for instructions)

2) Our first individual fundraiser is UP AND RUNNING. Your students are the first theatre students to be given the opportunity to generate ad sales. 50% of each student's sales will benefit their trip fund. This should enable them to make their October payment and put a fair dent into the following payments. (For instance, if a Scotland-bound student sells 3 full page ads or 6 half page ads, the October 20 payment is met.) See the attached documents and holler if you have questions.

3) The Fundraising Committee meets again tomorrow and I will send reports back on future events. Do mark your calendars for the Fall Festival on Oct 30 from 1-4pm and check the list for anything you may be able to donate.

- To make an effort to fully fund each


9/6/16 update

Greetings all!

As we move forward with the school year and the theatre events we've got lined up, I wanted to give you all the payment schedule as set forth by the American High School Theatre Festival.

The July payment has already been made for each student, and the $100 deposit that each of you sent in with your application will be credited at the "remaining balance due" date.

I am looking for ways to help us cut the cost for each participant/chaperone (and hoping to set up a parent/volunteer fundraising chair for a committee). I'll speak more on how/how much we can lessen the cost at the Parent Meeting on August 30 (6:30pm in the theatre room), but I wanted you all to see the information I'd been given. (I'm all about open and honest communication.)

We should have trip dates in September (my best estimate is July 29-Aug 12). Our headcount needs to be confirmed by the end of October, which gives us some wiggle room.

This may have raised more questions than it answered, but I have faith in this group's ability to thrive under pressure.

Mark your calendars to attend our Fall Festival fundraiser on October 30 at the NGC Cafeteria from 1-4pm. We're ironing out the details on this and will know more about how everyone can chip in next week!

The Westlake Theatre program has been accepted into the American High School Theatre Festival for summer of 2017!

The American High School Theatre Festival (AHSTF) runs in conjunction with the Edinburgh Fringe Festival (Scotland), the world's largest performing arts festival. AHSTF required us first to be nominated (by a director in a state, regional, or national theatre association or a college/university program). We then completed an extensive application, including a video presentation, led by senior Zach Freeman, with the assistance of the rest of the theatre department student executive board:
